Office Manager (and Executive Administrative Assistant to the GM)
Position Summary
The Office Manager / Executive Administrative Assistant serves as the organizational backbone of Whipple Service Champions. This role provides direct administrative support to the General Manager while coordinating office operations, employee communications, meetings, reporting, special projects, and cross-department initiatives. The ideal candidate is highly organized, detail-oriented, proactive, professional, and capable of managing multiple priorities while maintaining confidentiality and helping drive accountability throughout the organization.

Key Responsibilities
Office Management
- Maintain office organization and administrative systems
- Maintain office cleanliness and work with janitorial & property management
- Coordinate office supplies and vendor relationships
- Manage company event logistics
- Support onboarding activities for new employees
- Maintain organizational charts, contact lists, and internal resources
- Coordinate facility-related administrative needs
Human Resources Support
- Employee Onboarding Support
- Policies and Handbook Support
- Employee Relations Intake
- Compliance and Reporting Support
- Employee Communication support
- Support Employee Services Generalist while out of office
Executive Support
- Serve as Administrative assistant to the GM
- Coordinate leadership meetings, huddles, and prepare agendas
- Take meeting notes and distribute action items
- Track completion of leadership and departmental commitments
Prepare presentations, reports, and correspondence
Screen and prioritize emails and requests
Assist with special projects and strategic initiatives
Communication & Culture
- Prepare company-wide communications (Whipple Weekly Newsletter)
- Manage employee recognition programs
- Assist with company meetings and All Technician meetings
- Coordinate employee surveys and feedback initiatives
- Support culture-building activities, community events, and parties
- Help execute employee engagement programs
Reporting & Analytics
- Compile weekly and monthly operational reports
- Track key company metrics and dashboards
- Maintain leadership scorecards
- Assist with payroll-related administrative tasks
- Prepare presentation materials for leadership reviews
Project Coordination
- Follow up on leadership action items
- Coordinate projects across departments
- Track project timelines and deadlines
- Assist with process documentation
- Support implementation of new initiatives
Required Qualifications
Experience
- 3+ years administrative, office management, executive assistant, or operations support experience
- Experience supporting senior leadership preferred
- Strong Microsoft Office experience required
- Experience with Microsoft Teams, Excel, PowerPoint, and Outlook
Skills
- Exceptional organizational skills
- Strong written and verbal communication
Professional and confidential handling of sensitive information
Ability to prioritize competing demands
High attention to detail
Strong problem-solving ability
Comfortable working independently
Preferred Qualifications:
- Experience in home services (HVAC, Plumbing, Electrical)
- Experience with ServiceTitan
- Experience coordinating meetings and events
- Basic reporting and spreadsheet analysis skills
- Project management experience
